How do I specify who is allowed to complete the tasks of a specific workflow?

Set the workflow process and allow only assigned users to complete a specific task.

Even if you have a skilled team and a self-reliant way of working, it can sometimes make sense that certain tasks in a workflow can actually only be processed by the responsible team members. With the right configuration of the workflow and the predefined team assignment for content types, you can determine exactly who should complete a task and to whom it is possible to change already assigned persons.

Set workflow

1. In the Strategy area, select the "Workflow" option
2. Create a new workflow or edit an existing one by clicking on the name of the workflow
3. Determine which steps the workflow requires and assign roles for each step
4. Block the task assignment of one or more tasks of the workflow by clicking the toggle. This will prevent the roles from being changed in the article card
   
    

   

5. Go back to the workflow overview. In the column “Can override” enter the users who are allowed to complete the tasks in the workflow, and change the task assignment despite locked tasks 

Designate a team for the content types

1. In the Strategy section, select the Content Types option
2. Create a new content type or open an existing one by clicking on the pencil icon of the respective content type
   
   
   

   

   
   
   
3. By the field "Workflow Profile", select the workflow to be assigned to the content type you have chosen
4. In the tab "Predefined Team" you can assign roles for this content type. When you have done this, these roles will be displayed in the selected content types in the workflow
